Where does sustainability data sit in the installation sector

The installation sector does not operate from a single location with a single energy meter. The work happens on projects, at customers' premises, with a fleet of vehicles on the road all day and equipment that changes from contractor to contractor. Where an office-based organisation has a building and a handful of suppliers, an installation company has a sum total of small, scattered sources: fuel receipts, lease overviews, hourly registrations per project, purchase invoices for materials, and subcontractors who barely track their own consumption. The largest share of emissions is often not in the building, but in the movement between locations and in the material being processed.

That makes this sector different from an environment with a fixed asset base. A factory has machines that are either idle or running, with meters that register something. An installation company has people driving vans to changing addresses, materials arriving through various wholesalers, and projects that use a different combination of subcontractors and suppliers for each job. The data exists, but is scattered across systems that were not built for sustainability reporting: scheduling software, a lease management provider, the accounting system, and a stack of Excel files per branch.

The vehicle fleet as the biggest blind spot

For many installation companies, the vehicle fleet is the largest cost item and at the same time the hardest to trace. Fuel cards provide totals per card, not per project or per job. Leasing companies deliver overviews in their own format, with different units and different closing dates than the rest of the administration. Anyone wanting to link fuel consumption to a specific data point in a report first has to work out which system holds the source of truth: the leasing company, the fuel card provider, or a manual record a planner keeps on the side. Without that documentation, it remains unclear whether a figure is correct, or merely feels plausible.

Materials and subcontractors: data outside the own organisation

A second layer sits outside the organisation itself. Installation companies work with materials from wholesalers and with subcontractors who deploy their own people and their own equipment. The emissions attached to that chain consist partly of material-related data held by the supplier, and partly of activity-related data held by the subcontractor that is often not recorded in any structured way at all. Anyone wanting to use these figures needs to know which part of a project report is based on actual measurements and which part rests on an estimate or an assumption made at some point and never checked again. Other sectors face comparable bottlenecks: in wholesale a large share of the data sits with suppliers and carriers, in manufacturing it sits specifically in production processes and machine data, and in the transport sector in route and fuel data that is likewise not set up as standard for reporting.

Project administration versus branch administration

A third layer arises from the way the work is organised. Some figures belong to a branch: gas, electricity, waste on site. Other figures belong to a project: material use, hired-in hours, transport to the job. Anyone drawing up a report needs to know at which level each data point should be collected, and who within the organisation is responsible for supplying and checking it. Without that assignment, sustainability data becomes a collection exercise that is improvised anew every year, with varying outcomes that are difficult to trace back to what actually happened.

Source first, then system

The pitfall is purchasing a reporting tool before these sources and owners have been mapped. Before selecting a system, it is worthwhile to record, per data point, where it comes from, who is responsible for it, and which rule determines whether a value is credible.
